BOOKING & REFUND POLICY

I. Booking & Payments
1. Mandatory Service Agreement
All bookings require a signed formal Service Contract to be secured.
2. Retainer Fee
A $200 Retainer Fee is required at the time of booking. No date, time, or service will be held without receipt of this payment.
3. Payment Schedule
The remaining balance is due 30 days prior to the event (the "Balance Due Date"). Bookings made within 30 days of the event must be paid in full immediately.
4. Overtime Policy
Additional service hours are billed at $100/hour. These must be paid on-site and in full before extended service begins.
II. Media Rights
The Client grants the Service Provider permission to take photographs and/or video recordings of the setup and event activities for promotional, marketing, and social media purposes.
1. Opt-Out
If the Client prefers a private event with no media coverage, they must notify the Service Provider in writing prior to the event date.
2. Ownership
All media captured by the Service Provider remains their intellectual property.
III. Cancellations & Refunds
1. Cancellation Notice

30+ Days' Notice: Cancellations made before the Balance Due Date are eligible for a full refund of all payments made.

Less than 30 Days’ Notice: Cancellations made within 30 days of the event are non-refundable.
2. Refund Processing
Approved refunds are credited to the original payment method within 5–10 business days.
3. Post-Service Policy
Once service is performed, payments are final. Issues regarding equipment malfunctions must be reported in writing within 48 hours for discretionary review.
4. Force Majeure & Unforeseen Circumstances
If the Service Provider cannot perform due to circumstances beyond their control (e.g., extreme weather or illness), the Client will be notified as soon as possible. In such cases, the Client may choose to either reschedule the service for a mutually agreeable date or receive a full refund of all payments made, including the Retainer Fee. The Service Provider shall not be liable for any additional costs or damages resulting from such cancellations.
IV. On-Site Requirement & Safety
1. Site Requirements
The Client must provide a safe, level, sheltered workspace with grounded power access within 6 feet of the set up area and venue entry at least 60 minutes before start time.
2. Damage & Liability
The Client is financially responsible for any equipment damage caused by guests or venue staff. The Service Provider reserves the right to shut down if the environment becomes unsafe or if guests becomes abusive/defensive. In the event of damage, the Client will be invoiced for the full cost of repair or replacement. No refunds will be issued for time lost due to safety-related shutdowns.
V. Legal & Professional Terms
1. Liability & Indemnification
The Service Provider’s liability is limited to the total fees paid. The Client agrees to indemnify the Service Provider against claims arising from guest negligence or breach of contract.
2. Assumption of Risk
The Client acknowledges inherent event risks and agrees the Service Provider is not responsible for personal injuries (except in cases of gross negligence).
3.Governing Law
This agreement is governed by the laws of the Province of Ontario.
